Offsite Storage is an integral part of every good Records Management policy. Offsite Storage enables those records which are no longer current, but which cannot be destroyed, for reasons of infrequent administrative use or legal imperative, to be stored in a secure, monitored environment at a rate much cheaper than city centre office rent. Offsite storage is also an important part of any Vital Records or Disaster Recovery plan, as it allows copies of important records on microfilm, as well as back-ups of electronic records to be stored. All good Offsite storage providers have both large areas of warehouse space for non-current records and environmentally-controlled media rooms for the storage of films and data at the correct environmental conditions. They should also have non-damaging fire-suppression systems in these areas.

Organisations should only use Offsite Storage companies that can demonstrate ISO 15489 compliance.
